Recording Secretary, SICS Board of Trustees


Part-time 1099 Contractor position–SEE APPLICATION INSTRUCTIONS BELOW

Position Overview

We are seeking a highly organized and detail-oriented Recording Secretary to support the Board of Trustees. This role is responsible for accurately documenting meetings, ensuring compliance with Massachusetts Open Meeting Law (OML), and supporting timely communication and recordkeeping for the Board.  This is a part-time, contract (1099) position with a flexible but deadline-driven schedule.

Key Responsibilities

  • Attend and record Board of Trustees and committee meetings (in-person and via Zoom)
  • Prepare clear, accurate, and objective meeting minutes, including:
    • Key discussions and reports
    • Motions and vote counts (yes/no/abstentions)
  • Post meeting notices in compliance with Massachusetts Open Meeting Law timelines
  • Distribute finalized minutes and meeting materials in a timely manner
  • Maintain and organize Board documents (agendas, minutes, and supporting materials) using Google Drive or similar systems
  • Support agenda preparation by tracking deadlines and reminding Board leadership as needed
  • Host and manage Zoom meetings when applicable (must log in prior to start time)
  • Ensure strict confidentiality, particularly for executive session materials

Time Commitment & Schedule

  • Approximately 4 meetings per month (mix of in-person and Zoom)
  • Estimated ~3 hours per week on average
    • Some weeks may have minimal or no hours; others may require up to 5 hours depending on meeting volume
  • Additional time required for:
    • Posting meetings
    • Preparing and finalizing minutes
    • Occasional document updates and communications

Qualifications

  • Strong attention to detail and exceptional organizational skills
  • Excellent written communication skills with the ability to capture discussions objectively and accurately
  • Ability to type quickly and summarize information in real time
  • Ability to manage multiple deadlines and responsibilities
  • Proficiency in Google Workspace, Microsoft Office, and Zoom
  • Comfortable working independently and meeting deadlines
  • Familiarity with or willingness to learn Massachusetts Open Meeting Law (OML)
  • Commitment to professionalism, discretion, and confidentiality

Preferred Qualifications:

  • Previous experience supporting a board of directors or trustees
  • Familiarity with Massachusetts charter school governance
  • Knowledge of Robert’s Rules of Order or similar parliamentary procedures

Compensation

  • This is a 1099 contractor position
  • Hourly rate is negotiable, based on experience
    • Typical range: $22–$30 per hour (flexibility for experienced candidates)
