Administrative Assistant 11-month position


The Administrative Assistant is a highly organized, detail-oriented, and professional individual that supports the daily operations of our school office. The ideal candidate will be a first point of contact for students, parents, and staff, and must exhibit a high level of confidentiality, excellent communication skills, and the ability to manage multiple tasks in a fast-paced environment.

  • Greet and assist students, parents, staff and visitors in a professional manner; diffuse situations as needed
  • Update and maintain the SPS online roster (CPP)
  • Act as transportation liaison with the Springfield Department of Transportation; maintain accurate data for student transportation grades 6-12.
  • Answer and direct incoming calls; respond to inquiries or route them appropriately
  • Manage attendance records, student files and other school documentation
  • Maintain confidentiality of student and staff information in compliance with FERPA and school policies
  • Maintain and organize office supplies, forms and equipment
  • Support teachers and administrators with clerical tasks, including copying, scanning and mailing
  • Work with other staff to ensure office is covered appropriately
  • Assist with scheduling meetings, maintaining school calendars and coordinating events
  • Process incoming and outgoing correspondence
  • Handle minor first aid situations and contact parents as needed (if trained/certified)
  • Perform other duties as assigned to support school operations

Education:  Minimum: Associate’s degree in Business Administration or Administrative Support or any equivalent combination of education and experience in an administrative support position that would provide the noted knowledge, skills, and abilities; possess high degree of proficiency with MS Office products including Word, Excel, Power Point and Outlook; good command of the English language, oral and written; experience working in a school environment preferred.
